Overview

Inviting team members gives coworkers their own login to OnePilot, scoped to a role that controls exactly what they can see and do — instead of everyone sharing one account.

Why it exists

Sharing a single login makes it impossible to know who did what, and gives everyone full access whether they need it or not. Inviting team members properly keeps activity attributable and access appropriately limited from the start.

Benefits

  • Each person gets their own login and their own activity history.
  • Roles (like Owner, Admin, Manager) control access without needing custom configuration per person.
  • Team members can be removed instantly if they leave, without affecting anyone else's access.

Step-by-step guide

  1. Go to Settings → Team and click Invite Team Member.
  2. Enter their email address and choose a role.
  3. They receive an invitation email to set up their own password.
  4. Review their access after their first login to confirm it matches what they need.

Tips

  • Start new team members with a more limited role and expand access later if needed — it's easier to grant more access than to walk back overly broad access.
  • Use Roles & Permissions to understand exactly what each role can see before inviting.

Best Practices

  • Remove access immediately when someone leaves the business, rather than leaving an unused account active.

Common Mistakes

  • Giving everyone Owner or Admin access "to be safe." Most team members only need a Manager-level role or narrower — check Roles & Permissions first.
  • Sharing one login among multiple people. This defeats activity tracking and makes it impossible to revoke one person's access without affecting others.

Troubleshooting

If an invited team member doesn't receive the invitation email, check their spam folder first, then confirm the email address was entered correctly under Settings → Team.
