Overview

OnePilot automatically backs up your account data, and this step walks through where to confirm that and how to export your own copy of your data whenever you want one.

Why it exists

Your CRM contacts, documents, and conversation history represent real business value. This step exists so you know backups are happening automatically, and that you're never locked into relying solely on OnePilot to hold your own data.

Benefits

  • Backups run automatically — no setup required on your part.
  • You can request a full export of your data at any time, in standard formats.
  • Exported data includes contacts, documents, and conversation history, not just a partial subset.

Step-by-step guide

  1. Go to Organization Settings → Data & Backups.
  2. Review the backup status shown there to confirm recent backups are current.
  3. Click Request Export if you want a downloadable copy of your data.
  4. You'll receive a notification when the export is ready to download.

Tips

  • Request an export periodically even though backups are automatic — it's useful to have your own local copy for peace of mind.
  • Store exported data securely, since it contains real customer information.

Best Practices

  • Treat exported data with the same care as any sensitive customer information — store it securely and limit who has access to it.

Common Mistakes

  • Assuming an export is instant. Larger accounts can take a few minutes to prepare — you'll be notified when it's ready rather than needing to wait on the page.

Troubleshooting

If a requested export doesn't arrive, check Organization Settings → Data & Backups for its status before requesting a second one.
